How to use the Paste Special in MS Office Suite Program



To illustrate this feature let us take an example. Suppose a student is preparing a paper with one of the MS Office suite program, MS Word. There they can wish to make a paste of a paragraph which they have copied from a website. Now in their MS Word document they can Edit/Paste Special where they will be presented a dialog box with four numbers of choices:

Choice One: Formatted Text (RTF)

Choice Two: Unformatted Text

Choice Three: HTML Format

Choice Four: Unformatted Unicode Text

The student will choose the second choice ‘Unformatted Text’. They will select the text data that will be available from the Internet and then pasted into their document. The Paste option will include certain forms. Such as:

• The data that are pasted should have the same size of font throughout its document.

• As in the master document, the margins of the paragraph should be the same.

• The spacing between each lines should be offered same as in the master documents.

As because the option ‘Paste Special’ pastes the unformatted text, the text takes the characteristics of the document that the user is entering.

This feature ‘Paste Special’ of MS Word can be utilized to copy the text without any problem from the Internet.
